Understanding the background

Applying for a passport is often a one-time activity that individuals rarely undertake, usually only once every few years or even in a lifetime. Given this infrequent need, users don’t require a dedicated app for such a limited function. Instead, they seek a quick and practical solution that doesn't involve the hassle of downloading an app. By integrating the application form into the existing Immigration Web Indonesia, users can access the service directly from various devices, providing them with a high level of flexibility.

The design focuses on simplicity and efficiency, ensuring that each step of the passport application process is intuitively laid out to minimize confusion. The form is structured for straightforward data entry without overwhelming users with unnecessary information, creating a seamless and efficient user experience.

  1. Inconvenience of Current Solutions

The process of applying for a passport is typically a one-time activity that users engage in infrequently. Current solutions, such as the M-Paspor app, can be inconvenient, especially for those seeking a practical solution without the need to download an app.

  1. Repetitive Data Entry

The M-Paspor app requires users to re-enter personal information (name, NIK, date of birth, address) multiple times, even after creating an account. This redundancy can frustrate users and prolong the application process.

  1. Inefficiency in Family Applications

For families applying together, the current process requires each member to go through the entire application again from the beginning, which is time-consuming and inefficient. Users often find themselves concerned about the accuracy of data previously entered.

To resolve these issues, I designed a web-based passport application form integrated into Immigration Web Indonesia. This solution optimizes the flow of the application process by leveraging existing web infrastructure and provides a centralized point of access for all passport-related services. Here’s how I improved the user experience:

  1. Centralized Access Point for Passport Services

By consolidating all passport-related services into one platform, users can access application forms, track their progress, and find relevant information in a single place, making the process quicker and more efficient.

  1. One-Time Personal Information Entry

I streamlined the data entry process by ensuring users only need to input their personal information once when creating their profiles. This eliminates redundant data entry and enhances the user experience, especially when managing multiple family members.

  1. Efficient Family Appointment Scheduling

The new Family Appointment Option allows users to complete forms for multiple applicants in a single session. This feature reduces redundant steps and ensures data consistency, particularly when scheduling appointments for family members together.

Takeaways

This project emphasizes the importance of simplifying complex, infrequent tasks like passport applications by centralizing them on a web platform. From my personal experience using the M-Paspor app, I found the process to be less than smooth. Over time, I began questioning whether every service really needs to be an app. Not everyone has phones capable of installing many apps. After talking with several friends, I learned that most of them uninstalled the M-Paspor app after they obtained their passports.

By integrating the passport application process into the Indonesian Immigration website, I removed the need for a separate app, making the user experience more straightforward and efficient. This solution reduces repetitive steps, particularly for family applications, by allowing users to fill in personal information only once, saving time. The design is accessible across various devices, positioning the Indonesian Immigration website as a modern, user-centric platform that meets international standards.

Reflecting on other countries, the seamless integration of services into a compact, well-organized platform not only makes these countries seem more prepared but also ensures that they better address their citizens' needs. By adopting this approach, Indonesia could enhance its digital infrastructure and provide a superior service to both local and international users.
